Edit Flow

Edit Flow is the workflow page for a form. It's where you decide who can fill it out, who reviews a submission, and what happens after someone submits. The questions themselves live on a different page: the Form Builder. Both sit under Admin → Forms, which is why it's easy to mix them up.

Edit Form vs Edit Flow

Edit Flow Who can fill the form, who reviews it, step order, custom emails, triggers, muting, expiration, duplicate, and groups (editor, view, manager, note, and so on)

On the builder, More Settings is how you reach many of the same form-wide toggles. On Edit Flow those everyday ones sit on the top card, and the rest are under Advanced Settings.

Opening Edit Flow

  1. Go to Admin → Forms.
  2. Open a form. That lands you on Edit Flow for the parent form.

From the builder, click Edit Flow. If you're editing an extra form attached to a step, that button reads Return to Parent instead.

From Edit Flow, the blue Edit Form button opens the builder.

What's on the Page

The form name is a link to the live form (View live form). Beside it: a QR code and permalink, a filter for this form's submissions, and the blue Edit Form button. The menu holds Edit Name, Manage Short URL, Download CSV Template (when the form has importable fields), and Paper View.

The card's everyday settings are Anonymous Form, Allow Login Through Link, Form Accessible To, and Tags. See Form Tagging. Advanced Settings starts collapsed. Form-wide settings don't persist until you click Save.

Below the card come Flow Steps, then Custom Emails.

What You Do Here

A form can have zero steps — collect the answers and stop — or many. When a submission needs review, scroll to Flow Steps and use Add Step. Flow Steps covers how each type behaves:

Select Multiple Several people from a group review it
All Group Everyone in a group reviews it
Group Select Someone picks which group handles the next step
Dynamic Approvers come from the submission's own answers
Wait for Submissions Holds until related submissions finish
Conditional Routes the process based on answers
Collective Holds while someone completes a set of forms
Trigger Runs an action, such as sending extra notifications

Groups (who can edit the form, view submissions, manage them, or get notes), muting, expiration, and Duplicate live under Advanced Settings. For emails and what people are told as a submission moves, see Notifications.

Conditional Fields vs Conditional Steps

Hiding a question until an earlier answer makes it relevant is conditional logic on the form. Routing the process after someone submits — sending it down one path or another — is a Conditional flow step. They aren't the same thing. See Conditional Flow Steps when the process itself needs to branch.

Tips

  • Open a form from Admin → Forms for the workflow; use Edit Form for the questions.
  • Click Save after changing settings on the top card. Fields in the builder save on their own; these don't.
  • Start with no steps if you only need to collect answers. Add a step when someone has to act on what came in.
  • A field that hides on the form doesn't change who reviews the submission. Use a Conditional step when the path should change.
